'AS LIVE' PRODUCTION: Rehearsal Day 3 (1 Week Till Live)

Before the 10th, I made sure we had everything ready for the rehearsal. We had 3 out of 4 models present and the drag act, Conor was there. Unfortunately, Bonnie was unable to come due to childcare, and Helen was unavailable but we had a stand ins for them. 

We started by meeting the new contributors, Sofia, Harry, Kevin and Conor (Sapphire) and took them through to the green room and showed them their outfits for the day. Katie and I made sure they were comfortable and then asked Jack to look after them as he is the assistant floor manager and he would be cueing them onto the catwalk. Once they were dressed and had mic's on they sat in the audience until they were cued by Jack.

We used today as a dress rehearsal - we had Alfie and Adeline wear the suit and dress they would be wearing on the day, and we had the models change into their outfits so we could see how they looked in the chosen outfits. This was especially helpful for Kevin, as he had to change into the dad trainers outfit after Styles of the Season, it was interesting to see how easy the outfit change was and to see if Jack was able to see to Kevin to make sure he got changed at the right time and to get the other contributors in their correct places at the same time.

Rehearsal day 3 - 10/04/18

Getting everything set up and the first run-through took all morning which wasn't what we wanted. We hoped to get through more than one rehearsal in the morning however, Del came up with a schedule for the afternoon and said if we can stick to it, we'll get three useful rehearsals out of the afternoon, each in the 30 minutes scheduled for the show. I knew we had to follow the script because we hadn't had a full run through in 30 minutes yet - and we needed to see if it was even possible to do it in the 30 minutes. The schedule was:

14:00 back in studios to set up
14:15 - 14:45 first rehearsal
Reset
15:00 - 15:30 second rehearsal
Reset
16:00 - 16:30 third rehearsal
De-rig

Del made sure Katie and I were happy with this and asked if we thought it was possible to achieve this and we agreed - we had two more stand ins booked for the afternoon than the morning so we knew it would be easier than the earlier rehearsals. 

After lunch we got straight into making sure Jack knew when to cue the models on, the stand ins and Conor, as the guests and talent are mine and Katies responsibility as producers, we made it very clear when they should be ready next to the entrance to the set. Jack did very well throughout the whole day in cueing the guests and talent as we didn't miss any cues. 

Rehearsal day 3 - 10/04/18

Also after lunch, I stayed in the gallery and let everyone do their job as they would on the day so I could see if there were any issues in communication between Katie and I and the rest of the production team.

Each rehearsal was a chance to take notes and improve for the next one.

Rehearsal 1 - 14:15 - 14:45
- Models to be cued earlier
- Harry and Kevin's mic not working
- Handheld into audience is messy
- Bonnie VT to not fade to black - Alex
- Check Bonnie's VT - purse is correct to Adeline's link after VT
- Dad shoes needs work
- Old to New VT to not fade to black - Alex
- Over-ran so took 30 seconds from Bonnie's interview and 35 seconds from Conor's interview
- Round up is messy

To improve for the second rehearsal:
- Checked mic's were working properly
- Told Alex and Aimee to change VT's so they don't fade to black
- Gavin worked out a way to tidy dad trainers section and the round up

Rehearsal 2 - 15:00 - 15:30
- Cut teaser down? gives more time
- Don't cutaway to presenters reaction in Styles of the Season - keeps it simple
- Make sure all items are on model - make a tick-list and make someone in charge of it
- Take Alfie's reaction away in Styles of the Season
- Clashing fashion photo isn't up on screen
- Jack needs to wait till model is cued by director
- Put graphics on the presenter challenge mannequin instead of Alfie saying the prices and shops - gives more time
- Handheld still needs to be sorted - messy
- Drag music needs to be able to be played in gallery and on the floor
- Fashion fails VT has faded black end - Aimee
- Bonnie VT had a frame which was wrong and it was noticeable in the VT

To improve for the third rehearsal:
- I went onto the floor and told the presenters about cutting the reaction shots which they were very happy with
- Also told them about putting the graphics up of the mannequin prices so Alfie doesn't have to say it - he was happy with this
- Told Jack to wait until model is cued
- We all moved the audience chairs back so handheld had more room to turn around in to face the contributors
- Alex noted the wrong frame in Bonnie's VT and will edit that out

Rehearsal 3 - 16:00 - 16:30
- Introduction longer than scheduled - should be able to take time from elsewhere as other bits aren't as long as scheduled
- Sofia's mic needs to go around the back of her top as the black wire is visible through the white mesh top - label is also noticeable, however we aren't returning the mesh top so label can come out
- Graphics to be on screen for longer so audience can read them with enough time
- Floor managers to make sure fashion fails contributors are in the correct seats so director knows where we're going / who we're going to
- Wide shot in place of handheld during de-rig for Fashion Fails - less messy
- Keep Kevin on the catwalk during dad trainers as we then cut to a VT - then he can leave the catwalk
- Make sure Bonnie's mannequin is off stage for Conor's performance

To improve for next weeks rehearsal:
- We have noted with sound and sound assistant that Sofia's mic needs to go around the back of her top 
- Directors and vision mixer know to keep graphics up for longer to be readable
- I have made some audience seat reserved signs for the contributors so they will be seated in the correct places - only Dave and Nikki to talk but their families will be sitting with them - 5 seats to be reserved
- Director agrees to keep Kevin on stage until VT - less messy
- Floor managers know to get the stage clear for each segment

Problems with rehearsals
On every rehearsal our times went over on the introduction and Styles of the Season. This was very disheartening for me because throughout each script version, Katie and I were told by everyone to make the introduction longer by explaining what the show is about, and let the presenters introduce themselves and who they are, e.g. our fashion expert and the bubbly one who doesn't know much about fashion. As we were over, we had no choice but to take time from the two interviews at the end of the show with Bonnie and Sapphire. This was annoying because Styles of the Season is such a big segment because we have four models, and the interviews are shorter even though they're ideally meant to be bigger sections, and we were having to cut time from them. Obviously this isn't something we were able to work out before rehearsing, because us speaking it through and timing the script will be different to Adeline and Alfie saying it and ad-libbing as well. Today was the first day we did three full 30 minute rehearsals - which is when we realised the timing problem. After we extend the introduction, add more personality to the show and include conversation, we're over on the timing.

To combat this issue, Katie and I decided to cut the teaser in half so we only tease two segments instead of all four - while keeping the tease about the drag act. We have also taken some bits out of the introduction and first segment. I will make sure I talk to Adeline and Alfie and explain this problem and ask if they can keep ad-libbing short and to keep questions short so the contributors have more time to talk themselves. I've had to do it this way because it's too late to change the introduction and first segment completely when the presenters have been learning the script for the past two rehearsals. It will be easier to tell them to keep talking brief (apart from their introduction as we need that so the audience know who they are) and cut bits out rather than tell them to learn something new. 

I have thought about it and I think if we end up going over still, we should first take the time from Bonnie rather than Sapphire, because Bonnie has a VT about her as well as studio time and Sapphire is only in the studio so it makes sense for her to have more studio time. I will find out on Wednesday (1 day until live) if this works.


Reflection on rehearsal
- These rehearsals were very helpful as we were able to spot problems and fix them by the next rehearsal. 

- By the end of the day we had overcome many problems and the show was looking really good by the last rehearsal of the day. 

- I was very happy that we were able to get three rehearsals in 30 minute slots like we would on the day - apart from the timing issue. 

- However, the timing problem did give me the opportunity to practice taking time away from segments to fill other segments which is what I might have to do on the TX day as the guests may speak for longer than we have assumed, and especially as my half is the second half this is most probably the half where we will take time from as it will be last to air. 

- It was also very helpful to meet the majority of the guests we have for the show, it was especially good to have Conor in so he could practice his performance using the size of the catwalk.

- We all got on very well with all the guests and they said they enjoyed the rehearsal day and we are looking forward to seeing them again next Wednesday (1 day until TX!).
